PRIMARY POSITION FUNCTION/SUMMARY

Promote and manage synergies in the assigned sport program, by overseeing communications, content, and scheduling between head varsity coaches, and assistant

coaches, support staff, student-athletes and Division of Intercollegiate Athletics administration. Assist in the day to day operations and overall serve as the primary point of contact for all direct contact with the head coach.


 


Duties and Responsibilities

Duties are listed in order of greatest importance. Other responsibilities may be assigned.

 

 

% TIME

Strategic Leadership –

 Oversee the daily set up for practice or gameday.

 Assist in game planning and preparation with coaching staff.

 Manage statistics during gameday.

 Assist the Head Coach in strategic planning, compiling and analyzing data for gameday.

 Liaison with Coaching staff and administration.

 Monitor and analyze overall program budget, including proposed travel budget annually.

 Facilitate equipment, apparel orders and inventory with equipment staff.

 Authorized to make P-card and T-card purchases on behalf of the assigned sport.

 Manage the team per diem card program for current student-athletes, staff, and for official visits.

 This includes working with Financial Operations to order cards and reporting lost/stolen cards.

 Prepare requisition for purchase order request for departmental purchases either thru iBuy or the Banner system. Contact vendors for Banner establishment.

 Coordinate with Business Office if special payment arrangements need to be made with vendors.

 Coordinate travel arrangements for the team/staff and manage needs during home and away competitions related to team communication, itineraries, equipment needs, team meals and per diem cards.

 Process expense reports for head and assistant coach. This includes team travel, competitions, recruiting and other miscellaneous reimbursements.

 Oversee that all policies are being followed to support DIA, campus and NCAA

 Support the coordination with negotiating the terms for game contracts, including, but not limited to guarantees, locations and or/logistics

Communication –

 Manage branding strategy for Illinois Athletics and, the head coach, by coordinating and developing a communication plan and schedule for the Head Coach.

 Serve as the strategic communication, media relations, donor relations. Analyze the effectiveness of external and internal communications and implement changes as needed.

 Create, implement and cultivate recruitment and outreach plans with key recruiting constituents.

 Create, send and document correspondence on behalf of the head coach, including managing print and social media communication.

 Coordinate official campus visits for recruits and their guardian/guest, while ensuring the NCAA rules are followed.

 Design, coordinate, and organize activities as they relate to the alumni relations, community services and outreach efforts.

Administrative –

 Collaborate on team building activities and team specific function.

 Create the Time Management Plan using Teamworks.

 Create and submit the APEC forms each semester on behalf of the sport program.

 Track and submit letter winner awards annually on behalf of the sport program.

 Coordinate scheduling facilities usage and preparation for practices and games.

 Coordinate with Event Management staff for all game day operation’s needs.

 Coordinate with Marketing and Promotions staff to provide game/tournament logistical information.

 Formulation and organization of data analysis in a manner useful to strategic team improvement.

 Coordinate housing for newcomers, preseason and campus breaks.

 Coordinate courtesy car exchanges with the development staff on behalf of the coaching staff.

QUALIFICATIONS:

Minimum Qualifications:

Bachelor’s degree in business, sports management, kinesiology, recreation or related field required

 

Current or previous intercollegiate athletics employment experience required. Having working knowledge of computers and their functions required. Skills in

listening, judgement and decision-making. Abilities in problem identification, reasoning, ability to develop original ideas to solve problems. Ability to independently Effective

organizational experience.

Preferred: Master’s degree in same areas as required

 

Experience:

 

Preferred: Experience with Division I intercollegiate athletics preferred. Experience managing sport travel and sport budgets preferred. Video experience preferred.
